Viewings:

All viewing appointment enquiries should be emailed to info@halolondon.com or contact the office on 020 7485 8366. When requesting an appointment, applicants should be as detailed as possible as to their accommodation requirements:

•  Expected moving date

•  Approximate tenancy length

•  Number of occupants

•  Maximum weekly/monthly budget

•  Desired area(s) or location

Property viewings are available Monday to Friday 13h00 to 19h00, and Saturday 12h00 to 18h00.

Reservation Procedure:

Once a suitable apartment is found the applicant will be emailed an application form which outlines the proposed tenancy term and requests a few personal details. After reviewing the terms and the application is completed it should be emailed to info@halolondon.com or faxed to 020 7267 4003.

On receipt of the application, and subject to the approval of the landlord(s) an appointment will be scheduled to meet at our office to secure the apartment. At the meeting the following will be required:

•  HOLDING DEPOSIT - A cash payment equivalent to one week rent + the £70.00 administration fee is payable, this initial deposit is a credit payment towards the full balance due before moving in. In the instance where the application is withdrawn the holding deposit is non refundable.

•  REFERENCES - The following documents are required:

•  Current employers work reference
OR
•  Confirmation of College/University acceptance letter and a Guarantor letter
AND
•  Previous landlord reference

•  IDENTIFICATION - A copy of either a passport, ID card or Drivers Licence.

* For applicants who are abroad and unable to attend an appointment in person, the reservation procedure can be completed via email and bank transfer.

Once all of the above have been successfully fulfilled the reservation of your apartment is confirmed.

Tenancy Length (Long Lets):

The standard tenancy length is a fixed six month term. Tenants will sign an Assured Shorthold Tenancy (AST) agreement.

Rent Payment:

The rent is paid monthly and in advance on the 1st of each month. Monthly payments are paid by bank transfer (monthly standing order) or by cash/cheque at our office. The rent amount is calculated per calendar month i.e. weekly rent amount multiplied by 52 weeks and divided by 12 months in the year. The initial rent amount when moving in will be calculated pro rata from the day that the tenancy begins until the end of the 1st month, if the tenancy start date is after the 14th of the month, then the next full month's rent will also be paid in advance.

Security Deposit:

On moving in tenants pay a security deposit equivalent to one calendar month rent. Once the deposit is received it will be, registered with and, sent to be held by the Deposit Protection Service (DPS). The deposit will remain with the DPS for the full duration of the tenancy including any extended period of the tenancy. The deposit will be returned to the tenant within 10 days after the apartment has been vacated. The rules of the tenancy deposit scheme can be found at http://www.depositprotection.co/public/.

Check In:

Before the apartment keys may be handed over the balance of the security deposit and advance rent should be paid in full and in cleared funds. On check in tenants are issued a Check-in Inventory report which details the apartment condition, the report should be reviewed and any changes or additions noted and, returned via email to info@halolondon.com within 7 days (if a report is not returned it is assumed that the tenant agrees to the report). This report will be used as the condition report at the end of the tenancy when the check out inspection takes place.

Tenancy Renewals:

The tenancy term may be renewed by requesting an extension one month prior to the expiration of the fixed term agreement. Tenancy renewal requests should be emailed to info@halolondon.com, and are subject to a property inspection to ensure that the apartment is being well-maintained.

Ending a Tenancy:

One month prior to the expiration of the fixed term agreement the tenant should email info@halolondon.com to confirm their intention to vacate the property at the end of the fixed term. If no notice is received it is assumed that the tenancy will continue on a periodic term which will also require a one month written notice to terminate the extended tenancy.

Breaking a Tenancy:

In the unlikely event that a tenant vacates the property prior to the expiration of any fixed term, or agreed extended period, the tenant will forfeit the entire security deposit.

Check Out:

Once a check out date is agreed tenants are emailed a leaving form along with check out procedure instructions. The leaving form should be completed and returned via email to info@halolondon.com. We will meet tenants no later than 18h00 on the agreed check out date, to hand over apartment keys and carry out a final inspection of the studio.

Quarterly Inspections:

To help management ensure that apartments are maintained to a high standard whilst identifying any potential maintenance issues we inspect each of them quarterly. Tenants will be notified via email one week prior to an inspection.

Maintenance:

Tenants are responsible to maintain the general upkeep of their studio. However any serious maintenance issues should be reported to the Management to arrange for any necessary repairs.
Maintenance requests should be emailed to info@halolondon.com, we will endeavour to respond to all maintenance requests within 48 hours. Upon check-in tenants are given an emergency mobile contact number for out of hour's emergencies.

Fire Safety:

Each studio is fitted with a smoke detector, a heat detector, and an alarm sounder which are connected to a Fire Alarm Panel located near the building's entrance. The fire alarm system is maintained by a certified Fire Maintenance Company in accordance with current regulations. All doors within the building are fire rated and self-closing, and should be kept shut at all times.

Please note all our apartments are non smoking, if it is found that tenants have been smoking in the apartment tenants will be charged additional repair costs after check out.

Administration Fees:

•  Check in administration charge is £70.00 this includes the preparation of the tenancy agreement and check in inventory report.

•  An end of tenancy cleaning fee of £70.00 will be deducted from the security deposit, please note if the flat is not handed back in a similar condition as it was received additional cleaning and maintenance charges will be deducted.

•  Any replacement keys or door fobs can be ordered at a cost of £20.00 per key or fob.

•  Written references may be requested and are provided at a cost of £10.00 per reference.

•  There is no charge of tenancy renewals and extensions.
